Editor's Note: A factory-side guide tailored for wholesalers, Amazon sellers, and boutique brands to evaluate and choose the right bedding manufacturer for long-term partnerships.
Most procurement negotiations end quickly with the issuance of purchase orders. Establishing an OEM partnership for bedding—covering production, packaging, transportation, and after-sales service—can bring years of repeat business if the first order goes smoothly.Since 2001, our team has produced bedding for retailers in over 20 countries. The following 10 questions are exactly what we hope first-person buyers raise before signing a contract. They are not sales traps, but rather the key to revealing the fundamental differences between actual factories and middlemen.1. Are you a factory or a trading company?
This is the single most valuable question. Ask to see the business license, the factory address (with photos or a live video walk-through), and the certification portfolio in the factory's registered name. A trading company can be useful for very small orders, but for repeat production, direct factory contact removes a communication layer and the middleman margin.
2. Show me the current OEKO-TEX / BSCI Certificate
A certificate that is a year out of date is not a certificate. OEKO-TEX Standard 100 is issued per material and per year; BSCI social-compliance audits are recurring. Ask for the certificate number and scope. Our factory holds OEKO-TEX Standard 100 across our textile-cover range and has passed BSCI audit—both documents are shareable on request.
3. What is your real MOQ and where is it negotiable?
A fully customized program with unique fabric, embroidery, and packaging typically requires 500 pieces to make tooling economical. Ask specifically:
- MOQ per SKU, per colorway, and per size?
- Can trial orders be split across SKUs to reach MOQ?
- What is the surcharge structure for below-MOQ trial orders?
4. What is the lead time—broken down by stage?
A single lead-time number is unhelpful. Ask for the full breakdown: sample development, artwork approval, material sourcing, production, QC, and shipping. Knowing the breakdown lets you catch delays early instead of at the final ship date.
5. How do you handle sampling and who pays?
The sampling policy reflects a factory's business intentions. Our standard: Custom-developed samples require a sampling fee, which is fully deducted from the first batch order that reaches a full container. Beware of factories that refuse to provide clear sampling fee structures.
6. Describe your QC process in detail
If the answer is "We check all the steps," please be cautious. Inquire about specific checkpoints: raw material entry inspection, in-line sampling frequency, finished product review, and third-party inspection standards (SGS, BV, or TÜV Rheinland are welcomed).
7. What are your standard payment terms?
For a first-time custom order, standard terms typically involve a deposit with the remaining 70% balance paid against the B/L copy.
8. How do you handle defects and claims after delivery?
Every production run has a slight margin of error. What matters is the reaction. Simply provide photos and videos of any defects; our team verifies them and provides a concrete solution within 24 hours.
9. Which ports do you ship from, and do you have a preferred forwarder?
Our factory ships primarily out of Shanghai. A reliable supplier forwarder network can save 5–10% on ocean freight and transit time. If you have a preferred forwarder, we seamlessly coordinate with them.
10. Can you provide references?
A reputable factory always has repeat buyers or partner feedback available to share with prospective customers.Closing Thought
A first pillow OEM contract sets the tone for years of production. Asking these ten questions costs nothing and separates a manufacturer that wants a genuine partnership from one that only wants a one-off purchase order.Talk to Our Factory
